1. Introduction

Ventrix Technologies ("Ventrix", "we", "us", or "our") is committed to protecting your personal information. This Privacy Policy explains what information we collect from you, how we use it, who we share it with, and what rights you have over your data when you use the Ventrix Marketplace at ventryman.com or shop.ventryman.com (the "Platform").

Please read this policy carefully. By using the Platform, you agree to the collection and use of information described here.

2. Information We Collect

Information you give us directly: When you create an account, we collect your full name, email address, and phone number. For merchant accounts, we also collect your business name and registration details. When you place an order, we collect your delivery address and payment details, though full card numbers are handled exclusively by our payment gateway and are never stored on our servers. When you contact us through a support form, we collect the contents of your message.

Information collected automatically: When you use the Platform, we automatically collect information such as your IP address, browser type, operating system, pages visited, and the time and duration of your visits. This helps us improve the Platform, prevent fraud, and maintain security.

Delivery and transaction records: We maintain records of every order, including its status history, delivery timestamps, and payment outcomes. These records are kept for accounting, dispute resolution, and legal compliance.

3. How We Use Your Information

We use your personal information to:

• Provide and operate the Marketplace, including processing payments, tracking orders, and facilitating delivery verification.
• Send you transactional emails, including order confirmations, status updates, verification codes, refund notifications, and payout summaries.
• Verify the identity of merchants applying for marketplace verification.
• Detect and prevent fraud, abuse, and violations of our Terms of Service.
• Comply with our legal obligations, including financial reporting and tax requirements.
• Improve the performance and features of the Platform based on usage patterns.

We will never sell your personal information to third parties for advertising or marketing purposes.

4. Who We Share Your Information With

Merchants and Buyers: When a buyer places an order with a merchant, we share the buyer's name, phone number, delivery address, and order details with the merchant so they can fulfil the order. We do not share buyers' email addresses with merchants unless the buyer initiates contact.

Payment Gateway: We share transaction details with Paystack, our payment processing partner, to facilitate secure payments and refunds. Paystack processes all card and mobile money transactions and maintains their own privacy policy.

Service Providers: We use third-party services to send emails and provide cloud infrastructure. These providers process data on our behalf and are contractually required to keep it confidential.

Legal Requirements: We may disclose your information to law enforcement agencies, regulatory bodies, or courts when required by applicable law, or to protect the rights and safety of our users.

5. Data Retention

We retain your account information for as long as your account remains active. If you close your account, we will delete your personal data within 90 days, except for data we are legally required to keep, such as financial transaction records which must be kept for a minimum of 7 years under Ghanaian tax law.

6. Security

We use industry-standard security measures including encrypted connections (HTTPS), access controls, and secure cloud storage. Delivery verification codes are stored as cryptographic hashes and cannot be read by Ventrix staff. No system is completely secure, and we cannot guarantee absolute security.

7. Your Rights

You have the right to access the personal information we hold about you, correct any inaccuracies, and request deletion of your account and personal data, subject to our retention obligations. To exercise these rights, contact us at privacy@ventryman.com. We will respond within 30 days.

8. Cookies

We use cookies and similar technologies to maintain your session and remember your preferences. You can disable cookies in your browser settings, but this may affect Platform functionality.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Platform and updating the effective date.
