1. Overview
Ventrix Marketplace uses a delivery verification system to confirm that customers have physically received their orders before a merchant's payment is released from escrow. This system protects buyers from merchants falsely claiming delivery and protects honest merchants by providing a clear, time-stamped record of confirmed deliveries.
2. How the Verification Code Works
When an order is advanced to the shipped or ready-for-pickup stage, the system automatically generates a unique 6-digit verification code and sends it to the customer's registered email address. This code is personal and confidential. It must not be shared with anyone other than the merchant, and only at the moment the customer physically receives and inspects their goods.
The verification code expires 14 days after it is issued. If the code is not used within this period, the order will be automatically cancelled and the customer will receive a partial refund (order total minus the 1.95% payment processing fee).
3. Merchant Responsibilities
To mark an order as completed and trigger the release of escrow funds, the merchant must enter the customer's valid verification code into the Ventrix dashboard at the time of delivery or pickup. By entering the code, the merchant confirms that:
- The customer was physically present, or present at the delivery address.
- The customer has received the exact items ordered, in the described condition.
- The customer voluntarily provided the code, having had reasonable opportunity to inspect the goods.
Merchants must not request or pressure customers to share their verification code before the goods have been handed over. Attempting to obtain a code before delivery is a serious violation of this policy and the Merchant Agreement.
4. Customer Responsibilities
Customers should check their email for the verification code shortly after being notified that their order has been shipped or is ready for pickup. The code will be sent to the email address used when placing the order.
Customers should only share the code with the merchant after they have received their items and are satisfied that the delivery is correct and complete. If items are incorrect, damaged, or missing, the customer should decline to share the code and contact us immediately at support@ventryman.com.
5. Failed Verification Attempts
To prevent unauthorised guessing, the system temporarily locks an order after 5 consecutive incorrect code entries. Once locked, no further attempts can be made until the lockout expires. Merchants who encounter repeated failures should ask the customer to check their email and confirm the correct code rather than attempting further guesses.
6. Lost or Expired Codes
If a customer cannot find their code, they should check their spam or junk mail folder first. If the email is still not found, the customer must contact Ventrix support at support@ventryman.com with their order number and phone number to request a replacement code. Ventrix will verify the customer's identity before issuing a new code.
Codes cannot be resent directly by the merchant. All code management is handled exclusively by Ventrix to maintain security.
7. Consequences of Abuse
Any merchant found to have fraudulently used a verification code, for example by obtaining it before or without delivering the order, will have their account immediately suspended, their pending payouts frozen, and the matter may be referred to law enforcement. Ventrix takes fraudulent delivery claims extremely seriously and investigates all credible reports.
